Privacy Policy

WHO WE ARE

At the Literific, we are committed to building and maintaining a relationship of trust and confidence between the Council and our members. As part of this, we want to assure you that will not share or sell your personal information to other organisations or companies for marketing purposes. This Privacy Policy outlines what information we hold, why we hold it, how we use it and the limited circumstances under which we may disclose it to others.

TYPES OF DATA WE COLLECT

IDENTIFIABLE INFORMATION

We are obliged by QUBSU to hold your name, student number and QUB email addresses on file to register your membership. This data will all be kept in an encrypted document that will not be accessible to any individual outside of the Council.

If you go on any offsite trips with the Literific, whether that’s to IVs or other such outings, we will have to collect contact numbers for you and an emergency contact not on the trip. This is to fulfill our duty of care to you as members and be compliant with QUBSU offsite travel regulations.

MAILING LISTS

As a member of the Society, you are added to a mailing list for regular updates, sent out by the Secretary. We use that information to keep you up-to-date with Society events. We will not rent or trade this email list with other organisations and businesses.

The e-mail addresses of Honorary Life Members (HLMs) will also be stored to keep in contact with our past members. A request for your email to be removed from this list can be sent to secretary@literific.org.

QUB STUDENTS’ UNION

We are obliged to share our records with QUBSU in order to validate your membership. They hold this information securely in an encrypted file. To find out more information about how they hold and process your information, please find the QUB Data Privacy Policy (which QUBSU are governed by) here or contact the QUBSU Clubs and Societies Officer, Alice Devlin at clubsandsocieties@qub.ac.uk.

ACCESS TO YOUR PERSONAL INFORMATION

You are entitled to view and amend the personal information we hold. Please email your request to our Secretary at secretary@literific.org

DATA RETENTION

Any data collected for specific events will only be retained for the duration of the event and will be destroyed on its completion. We will only retain your student number for as long as you remain a member of the Society (to comply with QUBSU regulations). We will hold your name and email until you withdraw your consent. We will use this to keep in touch with graduates, updating them on the work of the Society.

CHANGES TO THIS POLICY

This Privacy Policy was last reviewed on the 20/05/2018 and will be due for review in May 2019.
